Employee Reimbursements: What’s Tax‑Free and What’s Not?

Reimbursing employees for business expenses is part of everyday operations — but getting the tax treatment wrong can lead to unexpected PAYE or FBT costs.

While many reimbursements (like travel, mileage, and home‑office costs) can be tax‑free, issues arise when payments include a private benefit, lack proper documentation, or are treated as allowances rather than actual reimbursements.

Understanding the difference is key to staying compliant and avoiding costly surprises.

Gift Cards and Tax: What Employers Need to Know

Gift cards are a popular way to reward employees — but from April 2025, Inland Revenue tightened the rules, and not all cards are treated the same.

The key difference comes down to how the card can be used. Store‑specific vouchers may still be tax‑free within limits, while widely accepted cards like Prezzy or Visa are always taxable, either through PAYE or FBT.

A small change in the type of gift card you provide can significantly impact your tax costs — so it’s important to get it right.
